How do I share the pay totals on the scheduling screen with my managers?

By default, the pay totals are NOT displayed and are restricted to administrators. To turn this on for managers:

1. Go to MANAGE MY BUSINESS
2. Click on MANAGE SECURITY GROUPS
3. Find the ‘View Employee Pay’ row
4. Click the red X in the Manager column to turn on

Next time a manager logs in, they will have this feature turned on.

Generating the CSV file

1) Go to Manage My Bussiness and verify that Peachtree is selected, if not select it and save the setup:

2) Go to the Reports option and select Export to Peachtree:

3) Select the information according to the steps mentioned in the preparation report and once everything is done click on Create Report:

4) Finally the CSV file will be generated, save it in your hard disk by clicking on Save Link As, as shown in the screen:

Importing in peachtree:

1) In the File option, go to Select Import/Export:

2) In the select Import/Export screen, click on (1) Time/Expense, then select (2) Time Ticket Register and finally click on (3) Import

3) Go to the the options tab (1), select the file to be imported (2) and finally press OK (3), the data will be imported.

How to Setup Biometrics

Step 1 – Install the biometric device into your USB port. You should see the light inside the device turn on, a soft blue colour (this means that it is on).

Step 2 – You need to install the drivers, one time only. Go to MANAGE MY BUSINESS and you will see the links to download the software. Pick the right one, 32bit or 64bit version (most users are 32bit – if you’re unsure, contact IT or your nerd!)

Step 1 – Go to MANAGE MY BUSINESS->MANAGE MY EMPLOYEES and select the employee to edit. Scroll down to General Information and click ‘Set biometric value’

Step 2 – The employee will need to press their finger 4 separate times on the device. THEY MUST ALWAYS USE THE SAME FINGER.

Step 3 – As the employee presses their fingers on the device, the count will decrease from 4 to 1

So no more excuses they didn’t know they had a shift.

How to Setup Barcode Scanner

Barcode - TimeWellScheduledOne punch in method TimeWellScheduled supports is barcode scanning. Barcode reads (like this one) scan a barcode and input like a keyboard. This means we keep the employee code and password setup and when you scan the barcode, it fills in those values. All your employees need to do it pick an action.

So how do you create barcodes? TimeWellScheduled does this automatically. Visit any employee page (MANAGE MY BUSINESS->MANAGE MY EMPLOYEES) to edit and you will see this link:

Show me the barcode so I can copy/paste into another application

Clicking the first link will generate a barcode, with the employee code + tab + password, and make it available to print.
The second link will do the same, without showing the print dialog.

Setting up Quickbooks

  1. Go to MANAGE MY BUSINESS -> GENERAL -> GENERAL SETTINGS
  2. Under Payroll, select Quickbooks as the payroll option.
  3. A popup will appear, requesting you to import payroll items. Any items you have already entered will be displayed here.
  4. Select a file to import.
  5. Click on Upload file, that will load the items list to save them. (Any duplicates will be detected)
  6. All items will be listed, where you can select which you want to bring into the TimeWellScheduled system.
  7. Next, you will be shown an employee list, where you can select which Payroll Type coincides with each employee.
  8. Click Save to save any changes.
  9. Click on the link below where you previously selected Quickbooks in the Payroll settings to create a CSV file.

Exporting to Quickbooks

  1. Go to REPORTS -> PAYROLL -> QUICKBOOKS EXPORT DATA.
  2. Select the time frame you wish to export, as well as departments/employees you want in the report.
  3. Click “Create Report”.
  4. Click the file link to download it.

Importing into Quickbooks

  1. Go to File -> Utilities -> Import -> IIF Files
  2. Select the payroll file you saved from TimeWellScheduled.
  3. Open the file, and review the content.

How do I approve my timecards

To approve timecards, go to TIMECARD & PAYROLL-> Review, Update and Approve Time Cards

Pick a department and you will see a list of yellow and green entries.

Green are approved, the employee clocked in based on the schedule and grace period you entered so we assume it is right (you can edit if need be). Yellow need to be approved, so beside the ‘paid’ entry is an icon, click it and edit the values.

How to Properly Bookmark Your Company’s TimeWellScheduled Access Portal

This is how to properly bookmark your company’s TimeWellScheduled access point at home:

  1. Right click on your Bookmarks toolbar, and select New Bookmark.
  2. Paste in your company’s TimeWellScheduled URL, and other bookmark information. Click Add.
  3. Use this bookmark to access your TimeWellScheduled company portal:

You CANNOT bookmark your company’s TimeWellScheduled page from the page itself. Our system takes your company link’s information, and then redirects you to the TimeWellScheduled portal.

This is what your company address looks like:

This is the website your company URL will redirect to.

As you can see, there is no information within the second URL. Therefore, our system does not know what company you belong to.
